Get attendees and time zones right

Module 1: What AI already does in assistant work

Course outline

Quick check

Guess first, no penalty. A thread between your boss in London and a client in New York says "let's talk Tuesday at 9". The AI-drafted invite says 9:00 London time. What's the risk?

Scheduling looks like the easiest job to hand to AI, and it's where small errors cost the most. Two things go wrong again and again:

  • Who: AI picks people from the thread or your contacts, so the wrong Sam, an old distribution list or a supplier copied on an internal thread can land on the invite.
  • When: "Tuesday at 9" in a thread across time zones can land at the wrong hour for half the room.

Both look right on screen. Both mean a missed meeting or a confidential plan in the wrong inbox.

A worked example

Before and after

Switch between the AI invite and the one the assistant sent.

AI invite

To: Dana Ruiz, Sam Lee, Sam Okafor, all-staff list When: Tuesday 20 October, 9:00 Subject: Q4 pricing

The assistant removed the second Sam and the all-staff list, confirmed with the client that 9:00 meant New York time, and wrote both times in the invite so nobody has to convert.

Your turn

Fill the gaps

Fill each gap in the invite.
