Turn voice notes into a job report

Module 1: What AI already does in trades work

Course outline

Quick check

Guess first, no penalty. You dictate notes after a job and ask AI to write the customer report. Which details must never come from the AI?

The skilled work is yours: wiring, welding, plumbing, fixing a machine. The part that drags into the evening is the paperwork. An AI chat tool (an app that writes text from your instructions) can turn two minutes of voice notes into a clean report, often from your phone.

The catch: when a detail is missing, it fills the gap with something that looks right. So give it a rule to mark gaps instead.

A worked example

A prompt is the message you type to the AI:

Turn my voice notes into a short customer job report with these
headings: What we found, What we did, Parts used, Time on site,
What to watch for.
Do not invent anything I didn't say. Write "confirm" wherever a
detail is missing. Plain words a customer understands.
My notes: got to site 9am, no hot water, pump seized and seal gone,
replaced pump and seal, flushed system, checked flow and pressure,
left 11:30, told customer to watch the pressure gauge for a week.

The report comes back with "Pump: confirm part number", because you never said it. That's the tool doing its job.

Your turn

Fill each gap in the same prompt.
