Guess first, no penalty. A user can't print since a Windows update. Which prompt (the message you send the AI) gets a reply you can send?
AI doesn't know your company's setup: which Windows version, which VPN, whether you use single sign-on (one login for every work app). If you don't tell it, it guesses, and a guess reads just as confidently as a fact.
Four things turn a draft into a reply you can send:
- The setup: the operating system and its version, the app, the device.
- What changed: an update, a new laptop, a password change.
- What was tried: so the AI doesn't suggest it again.
- Its assumptions: ask it to list what it guessed about your setup, and check those first.
Before you paste a ticket into any AI tool, remove names, email addresses and passwords.
Worked example
Draft a reply to this ticket: "VPN won't connect since this morning."
(Name and email removed.)
Our setup: Windows 11 laptops, Cisco Secure Client VPN, Microsoft 365 sign-in.
What I already checked: their internet works, and other users can connect.
Write numbered steps a non-technical user can follow, one line on what to
do if it still fails, and a list of anything you assumed about our setup.
The assumptions list is the part most people skip. It shows you exactly where the AI filled in a gap with a guess.
