You got the offer letter. Congratulations.

Now comes the part nobody prepares you for.

You have to reply.

And suddenly your brain is full of questions.

"Should I sound formal?"

"Too formal?"

"Can I say yes now and change later?"

"Can I ask for two more days?"

"Can I decline without looking arrogant?"

If you are reading this at 2 AM after searching "how to accept job offer email," you are in very good company.

Almost everyone overthinks this step.

And if you have one offer in hand from Company A while waiting for Company B, pressure doubles. You do not want to lose a sure thing. But you also do not want to close a better option too fast.

In India, this gets extra tricky.

Recruiters switch companies all the time.

Hiring managers know each other.

Teams are smaller than they look from outside.

So the way you write this one email can help your career, or quietly hurt it later.

Good news: this is very fixable.

You do not need fancy English.

You do not need a long emotional note.

You just need a clear, polite message with the right structure.

In this guide, you will get exactly that.

You will get copy-paste templates for acceptance, extension request, decline, and negotiation.

You will also get the logic behind each line, so you can edit confidently instead of blindly copying.

Keep this simple rule in mind before we start.

Your email should make the recruiter’s next step easy.

If they can read your email in 30 seconds and know what you decided, what you need, and what happens next, you did it right.

The Golden Rules of Responding to Job Offers#

Before templates, lock these rules.

They save careers.

1) Respond within 24 to 48 hours, even if you are undecided

Silence creates tension.

Recruiters assume you are not serious, or you are playing games.

Even if you need more time, send a short acknowledgement.

Example:

"Thank you for the offer. I am reviewing the details and will share my final response by Tuesday, 5 PM."

That one line keeps trust alive.

2) Never ghost

This should not need saying, but it does.

A lot of candidates disappear after interview rounds or after receiving an offer.

Please do not do this.

If you do not want the job, say so politely.

A clean decline today is much better than a silent no-show on joining day.

Ghosting gets remembered.

3) Stay professional, even when declining

You can decline strongly without sounding rude.

Do not write:

"Your salary is too low. Not worth it."

Write:

"After careful consideration, I have decided to move ahead with another opportunity that is more aligned with my current compensation expectations."

Same message.

Very different impact.

4) Keep it concise

This is not a breakup letter.

No one needs your full life story.

A good job offer email is usually 8 to 16 lines.

Clear subject.

Clear decision.

Clear next step.

Done.

5) Match your email with your calls and WhatsApp chats

If you said yes on call but your email sounds unsure, confusion starts.

If you said you need two days but your email asks for one week, trust drops.

Consistency matters.

6) Use clear dates and numbers

Do not say "soon" or "as early as possible."

Say "15 April 2026".

Do not say "slight salary revision."

Say "from INR 14,00,000 to INR 16,00,000 CTC."

Specific language reduces back-and-forth.

7) Always thank the team

Even if you are declining.

People took time to review your profile, interview you, and create an offer.

A simple thank you keeps your reputation clean.

8) Proofread once before sending

Name spelling.

Company spelling.

Role title.

Joining date.

Attachment status.

One typo is not fatal, but a careless email looks careless.

How to Accept a Job Offer#

When you are sure, accept cleanly.

Your goal is to remove ambiguity.

The recruiter should not wonder if you are 70 percent in or 100 percent in.

What an acceptance email should include

  1. A clear thank you
  2. A direct acceptance statement
  3. Role and location confirmation
  4. Joining date confirmation
  5. Any needed document or process query
  6. A positive closing line

Let us do this with real templates.

Template 1: Simple Acceptance (You are fully ready)

Subject: Acceptance of Offer - Software Engineer - Infosys

Dear Ms. Sharma,

Thank you for offering me the position of Software Engineer at Infosys.

I am pleased to formally accept the offer and confirm my joining on 22 April 2026, as mentioned in the offer letter.

I appreciate the opportunity and look forward to contributing to the team in Bengaluru.

Please let me know if there are any pre-joining formalities or documents required from my side before the joining date.

Thank you once again.

Sincerely,
Arjun Mehta
+91-98XXXXXX21

Why this works

  • Subject is clear. Recruiter can search later.
  • "Formally accept" leaves no doubt.
  • Joining date is explicit.
  • You ask about next steps, which shows readiness.
  • Tone is warm but not dramatic.

Quick edits you can make

  • If location is remote, replace "in Bengaluru" with "in the remote setup discussed."
  • If you are a fresher, mention campus batch if needed.
  • If your offer letter has an employee ID, include it in the signature.

Template 2: Acceptance With Conditions (Joining date or work setup adjustment)

Use this when you want to accept, but need one or two reasonable adjustments.

Important: this is not a negotiation war email.

You are accepting first, then requesting specific changes.

Subject: Offer Acceptance - Product Analyst - Flipkart

Dear Mr. Nair,

Thank you for extending the offer for the Product Analyst role at Flipkart.

I am happy to accept the offer and am excited to join the organization.

I would like to request your consideration for a revised joining date of 10 June 2026 instead of 27 May 2026, due to my current notice period commitment.

I would also like to confirm whether a hybrid arrangement (3 days office, 2 days work from home) is possible for the first three months.

I remain fully committed to joining Flipkart and would appreciate your guidance on the above points.

Thank you for your support.

Regards,
Nikita Rao
+91-99XXXXXX48

Why this works

  • You accept clearly before asking anything.
  • You ask for realistic, limited changes.
  • You give a reason that employers hear often and accept.
  • You end with commitment, which reduces fear of drop-off.

How far can you push conditions?

Think in "reasonable ask" vs "deal breaker ask."

Reasonable asks:

  • Joining date shift by 1 to 4 weeks
  • Hybrid setup discussion
  • Clarification on reporting location
  • Request for written confirmation of variable pay terms

Risky asks:

  • Huge joining delay with no proof
  • Full remote when role is fully office-based
  • Many asks in one email
  • Aggressive tone like "This is non-negotiable"

If you have too many conditions, first call the recruiter, align verbally, then send email summary.

How to Buy Time (When You Are Waiting for Another Offer)#

This is the most common stress point.

You have Offer A.

You are waiting for final HR round or compensation discussion with Offer B.

You need time without sounding dishonest.

First, be practical.

Most companies do not like long delays.

But many will grant 2 to 5 business days if you ask early and politely.

Do not wait till the deadline night.

Ask as soon as you know you need extra time.

Template 3: Asking for Extension Politely

Subject: Request for Offer Decision Extension - Senior QA Engineer

Dear Ms. Iyer,

Thank you for sharing the offer for the Senior QA Engineer position at TCS.

I truly appreciate the opportunity and am carefully reviewing the role details, relocation plan, and notice period implications from my current employer.

May I request an extension for submitting my final decision until 8 March 2026?

This additional time will help me complete the formal discussion with my current organization and make a responsible decision.

I value this opportunity and will share my final confirmation by the requested date.

Thank you for your understanding.

Best regards,
Rahul Verma
+91-97XXXXXX63

Why this works

  • You are respectful and honest.
  • You give a specific date.
  • You give a reason that sounds mature.
  • You reassure them you will reply by that date.

What if they say no?

It happens.

If recruiter says deadline cannot move, decide based on your risk appetite.

If Offer A is strong and you need certainty, accept it.

If Offer B is very likely and much better, you may choose to wait, but understand Offer A can be withdrawn.

This is a career risk call, not an email problem.

How to Decline a Job Offer Politely#

Declining is normal.

Doing it badly is the real issue.

Your decline email should be short, respectful, and final.

No sarcasm.

No emotional rant.

No comparison line like "Company X is better than yours."

Template 4: Declining Because You Accepted Another Offer

Subject: Offer Decline - Business Analyst Position

Dear Mr. Kapoor,

Thank you very much for offering me the Business Analyst role at HCLTech.

After careful consideration, I have decided to accept another opportunity and will not be able to proceed with this offer.

I sincerely appreciate the time and effort your team invested during the interview process.

I am grateful for your support and hope to stay in touch for future opportunities.

Thank you once again.

Regards,
Sneha Kulkarni
+91-96XXXXXX10

Why this works

  • You clearly decline.
  • You do not overshare.
  • You leave future door open.
  • No negative comments.

Should you name the other company?

Usually no.

If recruiter asks on call, share only if you are comfortable.

In writing, you can keep it generic.

Template 5: Declining Because Salary or Role Does Not Fit

Subject: Regarding Offer for Associate Consultant Role

Dear Ms. Dutta,

Thank you for offering me the Associate Consultant position at Infosys.

I appreciate the opportunity and enjoyed interacting with the interview panel.

After reviewing the offer details, I have decided not to proceed, as the role scope and compensation range (INR 7,20,000 CTC) do not align with my current expectations.

This was a difficult decision, and I am grateful for the consideration.

Thank you again for your time and understanding.

Sincerely,
Karan Singh
+91-88XXXXXX55

Why this works

  • You decline with clarity.
  • You mention mismatch without insulting anyone.
  • You keep tone calm and mature.

What not to write here

  • "Your budget is too low for my profile."
  • "Role is boring."
  • "I was expecting much more from your brand."

One rude line can follow you for years through informal recruiter circles.

How to Negotiate Before Accepting#

Negotiation is normal.

It is not greed.

If your ask is based on market value, current pay, skills, and interview performance, it is fair to ask.

Just do it professionally.

Before you send a counter-offer email

Check these points:

  1. You actually want this role if terms improve.
  2. You have a realistic target, not random inflation.
  3. You can support your ask with logic.
  4. You are ready for yes, no, or partial yes.

Common areas to negotiate in India:

  • Fixed pay vs variable split
  • Joining bonus
  • Notice period buyout support
  • Relocation support
  • Work from home days
  • Joining date

Template 6: Counter-Offer Email (Higher salary or better terms)

Subject: Compensation Discussion - Offer for SDE-2 Role

Dear Mr. Menon,

Thank you for extending the offer for the SDE-2 position at Razorpay. I am excited about the role and the work the team is doing.

I have reviewed the compensation details and wanted to discuss the fixed component. Based on my current CTC of INR 17,80,000, 4.5 years of backend experience, and the role expectations discussed, I was hoping for a revised total CTC of INR 21,00,000 with a stronger fixed component.

I am very interested in joining Razorpay and would be happy to close this quickly if we can align on the compensation structure.

Please let me know if this can be considered.

Thank you for your time.

Best regards,
Aditya Jain
+91-90XXXXXX37

Why this works

  • Appreciation first.
  • Data-backed ask.
  • Clear number.
  • Positive intent to close fast.

Smart negotiation tips

  • Ask once, clearly. Do not send five follow-ups in two days.
  • Keep range tight. Example: "INR 20.5 to 21.5 LPA" is better than "anything above 19."
  • Negotiate before accepting, not after.
  • If they cannot move on pay, ask for sign-on bonus or early review cycle.

After You Accept, What Next#

Many people think email sent means done.

Not done.

Now comes execution.

If you handle this phase badly, you can still create trouble for yourself.

1) If you are employed, resign properly

  • Submit resignation in your current company’s official system.
  • Inform your manager before the rumor reaches them from elsewhere.
  • Keep notice period communication in writing.
  • Do not burn your current team on the way out.

Why this matters: future background checks often include conduct feedback, not just dates.

2) Keep your joining documents ready (India checklist)

Most Indian companies ask for some variation of this list:

  • PAN card
  • Aadhaar card
  • Passport size photos
  • Updated resume
  • All education marksheets and degree certificate
  • Previous employer experience letters
  • Last 3 months salary slips
  • Bank account details or cancelled cheque
  • UAN and PF details (if applicable)
  • Relieving letter from current or previous employer
  • Address proof

Put these in one folder now.

Do not wait for last day panic.

3) Prepare for background verification (BGV)

BGV delays are common when details do not match.

Check these before submission:

  • Name spelling same across documents
  • Employment dates match resume and portal entries
  • Role title is accurate
  • Education details are exact

If something is missing, tell HR early.

Silence creates suspicion.

4) Confirm joining logistics

Send one short note 5 to 7 days before joining:

  • Reporting time
  • Office location or remote onboarding link
  • Point of contact on Day 1
  • Laptop and asset handover details

This avoids first-day confusion.

5) Stay professional online till you join

Do not post "New role loading" stories with offer letter screenshots.

Do not post salary figures publicly.

Do not post memes about old employer before your exit is complete.

You can celebrate.

Just celebrate smartly.

Common Mistakes People Make#

You can avoid 90 percent of offer drama by not making these basic mistakes.

Mistake 1: Accepting verbally, then declining by email after days

Verbal yes creates expectation.

If you are unsure, do not say final yes on call.

Say: "I am very positive. Let me confirm by email after reviewing final details tonight."

Simple.

Mistake 2: Accepting multiple offers casually

Some people call this backup planning.

In reality, it can damage trust badly when both companies prepare onboarding and one candidate disappears.

Take parallel interviews, yes.

But once accepted formally, act responsibly.

Mistake 3: Taking too long to reply

No response for a week signals low interest.

Even if you are waiting for another decision, send status updates.

Short update beats silence every time.

Mistake 4: Being rude while declining

No one gives awards for savage emails.

You might feel powerful in that moment.

Later, that same recruiter could be hiring for your dream role at a better company.

Be calm.

Mistake 5: Sharing offer details publicly

Sharing CTC screenshots in Telegram groups, LinkedIn posts, or college groups can create issues.

Some offers include confidentiality clauses.

Even if not, it looks immature.

Discuss with trusted mentors privately.

Mistake 6: Not reading the offer before replying

People accept quickly, then notice:

  • Different location than discussed
  • Variable-heavy salary structure
  • Bond clause
  • Long probation terms
  • Notice period rules they hate

Read first.

Reply second.

Mistake 7: Writing an emotional essay

Recruiters do not need a 900-word explanation of family pressure and internal conflict.

Respectful and short is better.

Mistake 8: Ignoring document gaps till the end

If your relieving letter is pending or marksheet has a name mismatch, raise it early.

Late surprises can delay joining.

Will Declining Hurt My Career?#

Short answer: declining itself will not hurt.

Declining badly can.

India’s hiring ecosystem is tighter than many candidates think.

Especially in tech, consulting, product, analytics, and startup circles.

Recruiters move between TCS, Infosys, Cognizant, Accenture, Flipkart, Amazon, and startups.

If you ghost, no-show, or behave badly, that memory can travel informally.

Also remember two practical points:

  1. Many companies track application and offer history in ATS systems.
  2. Your Naukri profile activity, response patterns, and notice period claims are often discussed during screening.

This does not mean one decline ruins your profile.

Not at all.

A polite decline with clear communication is normal and respected.

What creates damage is inconsistency.

Example:

  • You accept offer.
  • You submit documents.
  • You stop replying.
  • Joining day, phone switched off.

That is the kind of thing people remember.

If you must back out after accepting, do it early.

Call first.

Then send a clear apology email.

You still may upset them, but you reduce damage.

A practical rule to protect your name

Before sending any offer email, ask:

"If this screenshot is forwarded to a future hiring manager, will I still look professional?"

If answer is yes, send it.

If answer is no, rewrite.

Final Checklist Before You Hit Send#

Use this 30-second checklist:

  • Correct recipient name
  • Correct company name
  • Correct role title
  • Clear accept/decline/request statement
  • Clear date if asking extension or joining change
  • Professional closing and phone number
  • No emotional or rude line
  • No typo in subject line

That is it.

You do not need perfect English.

You need clear intent and basic professionalism.

And if you are confused between two options, do not disappear.

Communicate.

That one habit can save you from unnecessary career friction.
