Keep project secrets out of chatbots

Module 1: AI in project work

Course outline

Quick check

Guess first, no penalty. You want a free public chatbot (an AI chat tool anyone can use online) to help with a tricky update to your sponsor, the senior person paying for the project. What's safe to paste?

Project files are full of other people's information: who is struggling and why, salaries in a budget, vendor prices under contract, and plans nobody has announced yet.

A public chatbot is outside your company's control. What you paste may be stored, seen by the provider's staff or used to train models, depending on the tool. It can't be pulled back.

AI rarely needs the private part. Wording and structure work just as well with "a team member" and "the vendor".

      Ask without the secrets

A prompt is the message you send to the AI. This one keeps names, health details and contract figures out:

Help me tell the sponsor that one part of the project is two weeks late
because a team member is unexpectedly out. Recovering needs about
two extra weeks of contractor time. Keep it short and calm.

      Fill the gaps

Fill the gaps in the same prompt.

      Prompt

Help me tell the sponsor that is two weeks late because . Recovering needs .

Even approved company tools may be cleared for some data and not others.

      Try it
