Keep a log of fixes

Module 1: What AI already does in your job

Course outline

Quick check

Guess first, no penalty. You fix a few AI errors every day but never write them down. What do you miss?

Write down what was wrong each time you fix AI-typed data. Patterns show up fast. A simple log is enough, and five columns will do the work.

Date checkedFileError typeWhat was wrongFix
12/05/2025INV-May-03Digit misreadAmount $2,750 typed as $2,150Corrected to $2,750
12/05/2025INV-May-03Date swap08/09 typed as 09/08Corrected to 08/09

After a few weeks the log tells you where to look first. If most of your fixes are digit misreads in the amount column, move your re-check of amounts to step 1 of your spot-check routine.

Let AI group the log

An AI chat tool (an app that writes answers to what you type) can help here once the data is already cleaned. Give it your log, not your raw customer records. A prompt is the message you send it:

Here is my error log from checking AI-extracted data:
[paste your log]
Group the errors by type and suggest one check I should add to my
routine for the most common type. Do not invent errors that are
not in the log.

Fill the gaps

Fill the gaps in a prompt that reads your log safely.
