Upset guests and refunds stay human

Module 3: Judgment calls and your portfolio

Course outline

Quick check

Guess first, no penalty. A guest is angry about a noisy night and wants a refund. Your AI draft says "We're happy to refund you in full." What do you do?

Some messages can't be left to a draft. An upset guest, a refund, a complaint about a colleague, a legal threat, or someone unwell or in distress: these need a person who can listen, decide and take responsibility.

AI can still help after the call. A prompt is the message you type into the tool, and you can use one to put your notes in order for the manager. It shouldn't be the voice that speaks first.

Facts for the manager, not words for the guest

Summarize these notes for my manager. Facts only, in time order: what the guest said, what we did, what they asked for, and what is still open.
No advice, no apology wording and no promises.
Notes: A guest reported bar noise until 1 am. We offered a drink voucher. The guest asked for a refund of one night. Not decided yet.

Your turn

Fill the gaps

Fill each gap so the tool only organizes the facts.
